Measure the current environment
List each device, location, age, monthly volume, color usage, supply spend, downtime pattern, and the workflows it supports. The goal is to understand the fleet—not to replace every device automatically.
Map the document workflow
Capture paper sizes, scanning destinations, duplex use, finishing, secure print, line-of-business applications, and peak periods. A device that looks adequate on a specification sheet may still interrupt the actual workflow.
Evaluate total operating impact
Compare consumables, service availability, expected life, energy, user time, standardization, and support—not just acquisition price. Confirm the assumptions used in any cost estimate.
Plan deployment and ownership
Define network requirements, drivers, scan credentials, address-book ownership, data handling, supply replenishment, warranty or service process, and end-of-life disposal before installation.
